Payroll Manager
Position Summary
The Payroll Manager plays a critical role in managing and continuously improving payroll operations across both Canada and the United States. They lead a team of payroll professionals, ensuring accurate and compliant payroll processing, tax reporting, and reconciliations. The Payroll Manager partners closely with HR, Finance, and IT teams to drive operational excellence, support audits, and lead or assist in system improvements and implementations.
Responsibilities
- Lead, coach, and develop the payroll team to ensure timely and accurate payroll execution.
- Oversee the end-to-end payroll processing for employees across Canada and the United States, ensuring compliance with all federal, state/provincial, and local laws.
- Continuously review payroll processes to ensure operational efficiency, strong internal controls, and compliance, recommending and implementing improvements.
- Act as the subject matter expert (SME) and internal lead for the Dayforce payroll system, including updates, troubleshooting, and optimization.
- Partner with internal stakeholders (HR, Accounting/Finance, IT) to support payroll funding, reconciliations, reporting, and system integrations.
- Take a lead role in supporting annual benefits renewals by collaborating with HR to update deduction codes, conduct system testing, validate changes for accuracy in payroll processing, and ensure seamless transition during open enrollment periods.
- Manage payroll tax filings, year-end reporting (T4, T4A, W-2, 1099, etc.), and ensure accurate remittance of taxes and deductions.
- Maintain vendor relationships with external payroll providers, ensuring service levels are met and compliance standards are adhered to.
- Provide support for internal and external audits related to payroll, benefits, and tax matters.
- Maintain payroll-related policies, procedures, and documentation to reflect best practices and legislative changes.
- Participate in or lead payroll-related projects, including new system implementations, upgrades, or acquisitions.
Requirements
- Minimum 8 years of progressive payroll experience, including managing multi-jurisdictional payroll across Canada and the U.S.
- Bachelor's degree in Accounting, Business Administration, Human Resources, or a related field (or equivalent work experience).
- PLP or PCP designation from the National Payroll Institute.
- Extensive knowledge of Dayforce payroll system strongly preferred, or experience in leading/participating in payroll system implementations.
- Strong understanding of Canadian and U.S. payroll legislation, tax withholdings, and compliance requirements.
- Hands-on experience supporting annual benefit renewal processes, including payroll system updates, testing, and validation of benefit deductions, is an asset.
- Proven leadership, team management, and coaching skills.
- Highly organized, detail-oriented, and able to manage multiple priorities under tight deadlines.
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
- Proficient with Microsoft Office (Excel, Word, Outlook).
- Excellent interpersonal and communication skills (written and verbal); ability to interact confidently with employees at all levels.
- Proficiency in French would be considered an asset.
