Senior Retail Lease Administrator

Mississauga, ON

The Senior Retail Lease Administrator is accountable to the Manager, Retail Lease Administration for supporting the activities aimed at protection of interests of the company and its clients against risks associated with lease documentation by participating in the process of preparation, negotiation, revision and coordination of various lease and lease-related documentation.

DUTIES AND RESPONSIBILITIES

  1. Preparation and Review of Documentation
    Prepares, revises, negotiates, where required, and sees through to execution lease and lease-related agreements working in collaboration with external contacts such as tenant, tenant representatives, tenant legal counsel, soliciting input, where required, from Manager, Lease Administration and internal/external legal counsel to ensure the lease and lease-related documentation reflects the corporate intent and related risks of lease and lease-related documentation are minimized.
  2. Documentation Related Services
    Reviews and provides feedback for Offers to Lease and Letters of Intent, as required, to ensure consistency of documentation and minimization of risks related to the conflict between the leasing intent and the wording used in lease and lease-related Provides assistance to various internal groups in interpreting lease provisions, bankruptcy & lease-related matters soliciting input, where required, from Manager, Lease Administration, environmental & insurance staff and internal/external legal counsel to ensure that the best advice possible is offered to the business.
  3. Implementation of Documentation Templates and Policies
    Contributes to development and actively participates in implementation of: 1) national retail lease administration policies and procedures, as required, to ensure maximum efficiency of the lease administration function, and 2) standard forms of offers to lease and lease and lease-related agreements for newly acquired assets, 3) creates entries into database for tracking tenant specialty clauses, etc., and 4) national on-line precedent binder for use by retail lease administration & internal functions to ensure standardization of the retail lease administration function as well as knowledge transfer and knowledge management within the function to ensure consistency and risk mitigation.
  4. Lease Due Diligence
    Contributes to acquisitions due diligence by reviewing lease documents for potential areas of risk and negative economic impact; contributes to due diligence for dispositions by ensuring that purchasers receive all current lease documents and any lease-related documentation completed during conditional purchase period to ensure the owners meet the requirements of the disposition process.
  5. Lease Documentation Reporting
    Maintains tenant lease document status report for use by Retail Leasing, Retail Lease Administration, and other internal groups.

Minimum Requirements

Skills, Knowledge, Experience and Education

  • Graduation from paralegal or law clerk program or equivalent experience
  • Minimum 5 years of practical experience in retail real estate industry
  • Excellent knowledge of a retail commercial lease
  • Excellent knowledge of retail industry and shopping center environment
  • Excellent knowledge of MS Office applications.
